 Confirmation and payments

• All bookings will be confirmed in real-time, and your credit card is debited according to the terms of the rate selected for the booking.
• We regret that the $1 contribution to the Sustainable Property Fund cannot be refunded.

Specials and discounted rates

• All specials and discounted rates are non-refundable unless otherwise stated on the booking page.

Desk Bookings

• Free change or cancellation until 11am the day prior to arrival.
• Your credit card will be charged for your full stay at 11am the day prior to your arrival.
• Cancellations made after 11am on the day prior to your stay or failure to check-in will result in a charge equivalent to a one-day access pass.

Meeting Room Bookings

• Free change or cancellation for space bookings only, 24 hours prior to your start time
• Your credit card will be charged for your full stay at 11am the day prior to your arrival.
• Cancellations made after 11am on the day prior to your stay or failure to check-in will result in a charge equivalent to a one-day access pass.
• Catering changes and cancellations are not possible within 7 days of your meeting space reservation start date and time.

Exclusive Use Bookings

• Your credit card will be charged for your full stay at the time of booking.
• Free change or cancellation for space bookings only, 14 days prior to your start time and date.
• Cancellations made within 14 days of your reservation date will result in a charge equivalent to your booking.
• Catering changes and cancellations are not possible within 7 days of your meeting space reservation start date and time.

Y-Hive | YHA Membership

• YHA or HI Membership is not required to book or use any Y-Hive space within Australia.
• If you are not a member of YHA Australia and have booked a work and stay package, membership will be included as part of your first night’s stay.
• This membership is valid for 2 years from the first month of your first stay.

Arrival and Booking times

Desk Bookings | Exclusive Use Bookings

• Y-Hive hours are 8am- 8pm; one day is considered 8am- 8pm and all desk bookings commence at or after this time on your reservation date, and finish at 8pm on the final day of your booking.
• All users must check-in, and check-out at reception anytime between 8am and 8pm 7 days per week.
• Some passes have access to the Y-Hive space 24hours/ day. This access starts at 8am on the first date of reservation and finishes at 8pm on the last day or the reservation.

Meeting Room Bookings

• Meeting room access is available between 8am and 8pm seven days.
• Full day access gives access to the space for all hours between 8am and 8pm.
• Half day access gives access to the space for no more than 4 hours per day.
• The meeting organiser or representative must check-in and check-out of the space at reception any time after 8am and before 8pm

Additional Services

• Reasonable levels of printing and scanning is provided as an included service. 
• All food and beverage catering for meetings and events held at or for a Y-Hive space must be prebooked and paid for at least 72 hours prior to the required consumption date and time. Cancellations or reductions made within 7 days of the event will not be refunded.
• Bookable equipment including but not limited to data cords, AV equipment, whiteboards, etc must be pre-booked to guarantee usage. Cancellation of some of these items may result in cancellation fees equal to the hire cost of the item.

Safety and Security

• No visitors are permitted in the Y-Hive space without prior approval from a YHA team member. Visitors are welcome in communal spaces around the property, and in a meeting room you have reserved between the hours of 9am and 5pm only.
• Your key card can only be used to access the spaces you have booked for the times you have booked.
• Giving your key card to any other person is considered a security breach and will result in immediate cancellation of your access, and potential additional charges.
• Y-Hive Members must comply with the YHA House Rules.

 Insurance

• You agree that you are solely responsible for the security of your property in all Y-Hive spaces. It is your responsibility to arrange insurance for your own property that you bring to any Y-Hive space and for their liability to their employees and to third parties. YHA Ltd. strongly recommends that Y-Hive users obtain their own appropriate insurance to cover their own personal property (including, but not limited to technology devices) and cover for any liability that Y-hive users owe to their own employees, visitors or any other persons. YHA Ltd. does not accept any liability, and its insurance does not provide coverage for, any loss incurred by a Y-Hive Member, except when caused by YHA’s negligence.

IT

• High speed WIFI internet connection is available for unlimited access on a fair use basis. YHA reserves the right to refuse connection in the case of excessive or illegal use.

Usage of the space

• Any avoidable damages made by you within the space or within YHA property will be charged at a fee equal of cost to return the item or property to its original condition, or replace with a similar item.
• Noise levels are to be always kept to a reasonable level and respectful of all users across all Y-Hive Spaces. This includes voice, music, and other noise.
• You must take care of the Y-Hive spaces you use and keep all areas in a clean, tidy, and presentable condition.
• You must not use any YHA property or Y-Hive space for any immoral or illegal purposes or in any way that breaches these terms, any applicable local, state, federal, or international law or regulation.
• Y-Hive Spaces are open for all travellers, regardless of race, gender, age, sexual orientation, religious beliefs, political persuasion and physical or mental impairment. All guests using Y-Hive spaces are expected to behave in a manner that does not prevent other guests from enjoying their usage of the space.
• Y-Hive users can only access the YHA property after hours when the booked product allows this, or on a work and stay package product.
• The minimum age of Y-Hive users is 18 years old unless you are using this space with a designated guardian.
• Wheelchair access can be limited at some Y-Hive spaces. Please check with the YHA property where the Y-Hive is located for more information prior to booking.
• All Y-Hive spaces are smoke and vape free.

Admin and General Support

• YHA Team Members available at reception 24 hours. Please report any areas of concern to YHA immediately to allow for a fast resolution. You can contact reception using the YHA supplied phone in the y-hive space; this connects automatically to the YHA Brisbane reception.

YHA Ltd (ABN: 94 008 387 791) collects and handles your personal information in accordance with our Privacy Policy, so that we can provide and administer our products and services including YHA memberships, travel products, processing bookings, payments, check-ins, and cancellations and provide you information about these. Without your information, we may not be able to provide you products and services and you may miss out on receiving valuable information from us. If you are located outside of Australia, please be aware that any information you provide to us, will be transferred from your country of origin to Australia and you consent to this transfer. We may disclose your personal information to third party operators and providers of ‘travel deals’ you have booked or enquired about, to sponsors and partners when you enter a competition or promotion, to our umbrella organisation Hostelling International (HI) when you become a HI member and to third party service providers. These third parties may have servers located overseas such as in Europe, the USA and UK and you consent to these disclosures. If you are providing information on behalf of someone else, you confirm that you have authority to do so, and you have given them the information set out in our Privacy Policy and they have not objected to our handling, use and disclosure of their personal information. You have a right to access your personal information that we hold and may ask us to update, correct or delete this.
